Executive Director

 

With a Mission of “Building Community through Recreation”, the Quadra Island Recreational Society is a primary source of recreational opportunities and host and home to many cultural and community building events.  Charged with the day-to-day operation and care of Quadra Island’s volunteer-built Community Centre, much of the island's cultural vitality thrives within its walls. Founded in 1986, the Society has long been an important part of the fabric of Quadra Island.

 

Position Overview: The Quadra Island Recreation Society is seeking a visionary and collaborative leader to serve as our Full-time Executive Director taking on the responsibilities of our current ED who has recently taken on a new exciting opportunity.  Working for a volunteer Board of Directors, the ED is the primary community contact and is responsible for the day-to-day operations, event planning and management of the Community Centre and its surrounding grounds.  In addition to the supervision of staff and contractors, the ED is responsible for ensuring the smooth organization and marketing of a wide variety of community events.

Employment Details


Work Day: Public office hours must be maintained between Mon-Fri, shift start times and end times are negotiable based on administrative assistant hours, job requirements and Employee needs.
Compensation:
$35 - $39 per hour. Board may approve an equivalent salary option.

Work Week: Between 35-40/week with flexibility based on seasonal events and administrative expectations.
Start Date: February 24th, 2025

Benefits: Enrolment in Chamber of Commerce Benefits Plan (Includes dental, extended health benefits)

RRSP Contribution: 5% gross annual income with minimum 30 hour work week. 
Criminal Record Check: Presented within 30 days of employment

Sick Leave: 15 days of paid sick leave per year

 

Requirements and Qualifications:

●      Bachelor’s degree in Recreation or Community Development or related field (or equivalent).

●      Four or more years of experience in recreation programing or community development.

●      Leadership experience in the non-profit sector.

●      Experience in developing and managing budgets.

●      Strong verbal, written, and visual communication skills.

●      Experience in public relations, marketing, and fundraising.

●      Proven success working with a Board of Directors and volunteers. 

●      Dynamic and charismatic team player who enjoys being a leader, engaging, and communicating with the public.

●      Collaborative and inclusive leadership style.

●      Integrity, transparency, and commitment to ethical standards.

●      Resilient, adaptable, and capable of driving organizational development and innovation.

●      Use of a personal vehicle and ability to travel and transport participants of QIRS recreation activities as needed.

●      Valid BC Driver's License or the ability to get one.

●      First Aid Requirement - At minimum Community Care Emergency First Aid.

●      Food Safe Certification.

 

Key Responsibilities:

Governance and Strategic Leadership

●      Report directly to the Board of Directors of the Society.

●      Work collaboratively with the Board of Directors to create and implement the Society’s mission, vision, goals, strategic initiatives and priorities.

●      Liaise directly with the President who is the prime point of contact of and for the Board.

●      Ensure the implementation of Board policies and procedures and communicate areas where policies and procedures are in need of creation or revision.

●      Create, maintain, implement and communicate business plans designed to forward the goals and objectives of the Society.

●      Work collaboratively with The Board of Directors and Committees in order to identify, assess, communicate and, address issues putting the Society at risk.

●      In collaboration with the Board of Directors’ Management Committee, liaise with the Regional District.

●      Liaise with the Island Community to ensure the programs and services offered by the Recreation Society are innovative and adapt to changing priorities and needs.

●      Attend and submit a written report to all Board Meetings.

●      Attend the Annual General Meeting and provide organizational support to the Board of Directors as well ensure organizational compliance with the Societies Act.

●      Action any and all directives and tasks assigned by the collective voice of the Board of Directors.

●      In collaboration with the Board determine and publish consistent office hours where hall employees are available to the public.

 

Administration, Staffing and Operational Management

●      Oversee the day-to-day operations, including the supervision of any full, part-time or contract staff, ensuring efficient and effective utilization of resources.

●      Identify and communicate with the Board any staffing requirements needed for efficient operations.

●      Maintain  a strong work culture that attracts and retains people while driving the organization’s mission.

●      Be responsible for the oversight of the Community Centre, Blenkin Memorial Park and its day-to-day operations.

●      Administer facility bookings, office administration, phone, and email correspondence as well as face-to-face public interactions, rental contracts and scheduling.

●      Manage the Childrens’ Centre lease and maintain a good working relationship with the Childrens’ Centre Board and Staff.

●      Ensure that the Society remains in compliance with the terms and conditions of our Lease with the SRD and communicate any potential issues to the Board.

●      Conduct annual performance review of appropriate staff.

 

Community Building and Event Planning

●      Work collaboratively with community, volunteer groups and staff on special projects and fundraising.

●      Foster positive relationships with all Board affiliated committees and organizations.

●      Provide oversight, organize and support  the organization and implementation of celebratory community events such as and not limited to: May Day, Halloween Fun Night, and Craft Fair.

 

Communications

●      In partnership with the President of the Board and based on areas of responsibility, communicate with the media, other organizations, and, the SRD.

●      Create, maintain and publish the seasonal Recreation Guides to publicize the programs and services of the recreation Society.

●      Participate in external events to increase visibility of QIRS.

●      Oversee external communications relating to all programs and services including website design and maintenance, marketing material, newsletters, public correspondence, local newspapers and social media.

●      Be a public champion for the Society and its vision of “Building Community Through Recreation”.

 

Financial Management and Fundraising

●      Develop the annual operating budget for QIRS Board approval.

●      Develop and implement actionable plans for fundraising.

●      Manage monthly cash flow and administer details of revenue and expenses.

●      In partnership with the Board of Directors, meet and work to exceed annual operating costs by organizing fundraising events, applying for grants through Foundations, government and other institutional sources.

●      Seek strategic partnerships with businesses, local organizations and individual donors.

●      Proactively seek and apply for grants that align with and further the objectives of the Recreational Society and report them to the Board.
